How to Review an Incoming PDF Before Acting on It

An incoming PDF usually arrives with a task attached: approve a quote, record a qualification, process a request, or send a package onward. The useful first question is therefore specific: which fact in this document will somebody rely on? A review becomes easier when you identify that fact before opening a metadata report.

This workflow is for an everyday reviewer, not a laboratory examination. It produces a clear record of what you received, what you checked, and what still needs confirmation. A file that passes these steps has received a defined review; it has not acquired a certificate of authenticity.

Start with the received attachment

Save the attachment in an approved location and keep an untouched copy. Record the arrival date, channel, sender context, filename, and page count. Give your working copy a separate name. If the document is later compressed or combined with other files, retain the received version too.

Check whether this is the expected document. Does the first page identify the right subject? Are the requested period and document type present? Are all pages readable and in sequence? A missing appendix is often more immediately important than an unfamiliar software name in the file properties.

Use the original-preservation workflow if several people will handle the same attachment. The aim is to avoid investigating changes introduced by your own team.

Write down the decision fields

Choose a short list of fields that matter to the task. For a fictional equipment quote, these could be the version number, quantity, currency, delivery date, and referenced specification. For a fictional transcript, the relevant list will be different. Do not collect extra personal details simply because the PDF contains them.

Read each chosen field directly on the page. Note its page number and nearby heading. If you copy text into a spreadsheet, check the pasted value against the page, particularly for zeros, decimal separators, and similar-looking characters. An extracted value is a convenience, not an independent source.

Inspect technical clues in context

Next examine file properties and any available technical findings. Acrobat exposes document metadata through its properties interface. That is a way to inspect descriptive fields, rather than a way to establish who issued a document. Adobe's metadata instructions show where those fields are displayed.

Record a surprising finding exactly. “Creation date later than printed date” is an observation. “The sender changed the amount” is a different claim and needs different evidence. Missing dates, different Creator and Producer values, or a tool's modification warning cannot settle that claim by themselves.

Match each discrepancy to one next step

Avoid sending a vague request to explain everything unusual about the file. Choose the step that answers the business question. An unreadable number calls for a clearer source. A mismatch between two versions calls for comparison. A claimed issuer relationship calls for confirmation through an appropriate official channel.

Suppose a fictional supplier's quotation says revision three, but the accompanying message refers to revision two. First ask which revision governs the order. The response might explain a routine replacement. You can then obtain the intended copy and compare the relevant fields, rather than spending an hour interpreting unrelated timestamps.

Close the review explicitly

Finish with a short outcome: checked and ready for the stated next step; waiting for a specific confirmation; or referred for a more specialized review. Identify the person responsible for the remaining question. A document should not disappear into an indefinite “suspicious” folder with no owner.

Record limits in ordinary language. Perhaps you checked page completeness and five key fields but had no independent reference. Perhaps the sender confirmed the version but the issuer has not confirmed the record. These limits tell the next reader how much reliance the work supports.

Stop when the stated question is answered to the level your process requires. Additional tools are useful when they resolve a concrete uncertainty. Repeatedly running the same file through scanners does not replace a missing source or a decision about which version is intended.
