Reviewing an Invoice PDF Before It Enters an Approval Workflow
An invoice PDF review should establish what document arrived, whether it is complete, and whether material details agree with the records used by your organization. It should also surface unexplained changes for the person responsible for supplier confirmation. It is a document-control step within the existing approval process, not a payment decision made by a PDF tool.

Anchor the PDF to the business record
Record the received filename, arrival channel, invoice reference, named supplier, stated date, and the related order or service reference. Use the existing purchasing or supplier record as the comparison point, not a new contact detail appearing only in the received attachment.
Confirm which team owns the approval and which fields it expects you to check. Your role may be limited to document completeness and version reconciliation. State that scope so a technical check is not mistaken for broader approval.
Keep the original PDF unchanged. If the invoice arrived within a longer email chain, retain the relevant delivery context in the approved system without copying the entire conversation into a widely shared review note.
Check the document as a complete package
Count pages and inspect continuation references, schedules, and attachments. Look for a total that refers to a missing itemized page or a condition placed in an absent appendix.
Read quantities, units, currency labels, dates, and reference numbers from the visible page. If you copy values into another system, compare the pasted result against the original display. A misplaced decimal separator or misread character can create a workflow error even when the source PDF is ordinary.
The incoming document checklist helps structure this pass. Record a missing page as a missing page, rather than burying it beneath a general technical warning.
Separate ordinary revisions from unexplained changes
A supplier may resend an invoice to correct a reference or add supporting detail. Ask which version is current and whether the earlier one has been superseded. Preserve the relationship between the files.
Compare the received version against the relevant prior or confirmed version. Use the original comparison checklist to map pages before comparing line items. Record exact changed fields, including surrounding labels that determine their meaning.
Do not infer the reason for a change from PDF metadata. A later creation date, different Producer name, or missing metadata may reflect an export workflow. Those observations do not establish whether a line item, total, or supplier detail changed.
Route material discrepancies through a known channel
When a supplier identifier or other important instruction differs from the established record, mark the document question as unresolved and route it to the person who owns supplier confirmation. Use an independently known contact route for the clarification.
The request should name the discrepancy and ask which document is intended. Avoid embedding a conclusion such as “our software detected fraud.” A narrow statement is easier to resolve: “The supplier reference in this PDF differs from the reference in the approved record; please confirm the intended document through the established channel.”

Use technical inspection as supporting evidence

Tie any result to the exact version inspected. If a replacement arrives after the check, do not carry the previous tool report forward as if it described the new file.
Treat a report with no findings narrowly. It does not prove that the business information is correct. Likewise, a technical finding may relate to a legitimate annotation, export, or processing step. The relevant question is what additional evidence is needed to resolve the material discrepancy.
A fictional example: two totals with different scope
A coordinator receives a revised three-page invoice and compares it with an earlier two-page version. The new total differs. Instead of assuming that a digit was changed, the coordinator maps the pages and discovers an added schedule covering another service period.
The review note identifies the added period and the changed total. The responsible team then checks the underlying service record through its normal process. The technical review has located the difference and preserved both versions; it has not independently approved the additional charge.
Hand over a precise status
Use a batch review log to record the file reference, checked fields, material discrepancies, owner, and next action. “Document complete; service-period discrepancy awaiting internal confirmation” is a useful status.
Close the document question only when its evidence is recorded. Keep the technical result separate from the final approval outcome so the next person can see exactly what your review established and which decision belongs elsewhere.
